REPORTS TO:          Front Office Supervisor

Job Summary:      This individual is responsible for welcoming patients to the practice, treating all patients in a professional and courteous manner, checking-in patients, reviewing patient charts to verify necessary information and signatures, and entering new patient information into computer.

Education and Experience:

High school diploma or equivalent.
Two years minimum experience in medical practice.

Empathetic personality giving attention to patient’s needs and concerns.
Working knowledge of Excel.

RESPONSIBILITIES:

Patient Check-In

Checks patients in, greeting everyone in a pleasant and professional manner.       
Tracks patients in the reception area and communicate with them, as needed.
Evaluates chart data to verify all information has been received, completed, and signatures obtained.
Photocopies patient’s insurance card.
Ensures that proper authorization or referral is collected from the patient.
Assists patients in obtaining authorization or referrals that have not been received by the practice.
Enters all new patient demographic information into the computer.
Places charts in bin for specific physician or technician.
Marks arrival time of patients in office and make sure that patients are seen on time.

Patient Check-Out

Checks-out all patients. Reviews fee sheets for correct charges and diagnosis marked; enters information into computer.    
Ensures patients understand their condition and treatment; provides any special instructions to patients upon leaving.
Provides clarification of the doctor’s instructions.
Checks to see that patients have been given appropriate prescriptions.
Schedules return appointments for follow-up as necessary.
Schedules patients for transfer of care and any required diagnostic testing.
Explains all fees and patient financial responsibility.
Verifies patient insurance and address information.
Secures all necessary patient signatures; obtains proper informed consent and insurance authorization.
Collects fees for services.
Ensures patient satisfaction.

File Clerk Duties

Files / Scans patient charts, patient information, referral letters, and any other patient-related material.
Prints and prepares charts for following day; review charts for accuracy and order.
Prepares new patient charts and types patient chart labels.
Processes the fee tickets for the following day’s patients and places them in the patients’ charts, as required.
Copies forms, articles, etc.

Assists in contacting patients for any demographic or medical information needed.
Assists with the other general office duties as needed.
Performs other duties as required.

Administrative

Enters appointment recall cards to be mailed for future visits.
Prepares recall cards for month in advance.
Makes appointments as-needed.
Compiles a daily list of all patients requiring preauthorization for subsequent office visits and procedures, presents this list to the front office supervisor on a daily basis.
Maintains updated billing procedures and correct coding modifiers.
Performs other duties as required.
